Moore Rentals Ltd collects information for the purpose of its business activities and operations. We collect information about an entity from the entity and/or third parties. We collect information via calls, texts, emails, through our website, social media, in person, at your place of residence, through third-party channels, and via the Internet. The information may be private personal information or publically available information. This information is always specific to performing business effectively.
The only private personal information we collect will be information that an entity provides (or gives consent to provide). Other information we collect may be about potential consumers for Moore Rentals Ltd’s products and services – this information will only be publically available information. We store all information that we collect safely and securely, in filing cabinets and electronically behind passcodes with secure third-party software providers. 1.0 What is this Privacy Policy?
This Privacy Policy is designed to outline in sufficient detail, the processes, procedures, purposes, and definitions of what Moore Rentals Ltd does to comply with privacy laws, how we operate in accordance with privacy laws, and how we undertake personal information collection and storage.
2.0 Who we are
Moore Rentals Ltd is registered as a New Zealand property management company. We are a limited liability company (NZBN:9429031388252). Moore Rentals Ltd manages the tenancies of properties on behalf of other entities. We help to find tenants who wish to rent or lease a property, and we also manage properties and occupants whilst they occupy a property. Management of a property includes, but is not limited to, liaising with owners, tenants, and third parties. Moreover, Moore Rentals Ltd officiates and organises “things to be done”.
3.0 The personal information we collect
Firstly, Moore Rentals Ltd has two primary entity types who consume its products and services – property owners and tenants. We collect information from current owners and tenants, as well as prospective owners and tenants. “Prospective” also meaning owners and tenants who we may approach first.
Secondly, we collect information from entities that have a stake in our operations, and entities that we have an interest in collecting information from, for the purpose of current or forthcoming business operations.
Moore Rentals Ltd also collects relevant publically available personal information about entities alongside the personal information that you provide or have given consent to provide.
Depending on which type of entity you are, the personal information we collect and/or store about you and other relevant entities associated with you may include, but is not limited to: full names, dates of birth, IP addresses, physical addresses, postal addresses, email addresses, photos, financial information (including but not limited to bank account details), proof of identity documents, phone numbers, the details of other current or previous properties you own or have lived in, list of contacts and referees, property ownership information, property rating information, proof of ability to pay rent, bond numbers, insurance details, customer numbers, GST numbers, third-party invoices, Work and Income NZ details, credit history information, criminal history information, background information, and any other information that is provided to us, by yourself, or a third-party, that Moore Rentals Ltd deems necessary or relevant for business operations.
Moore Rentals Ltd will never knowingly request or obtain personal information, about any entity, that is illegal to request or obtain in.
4.0 How do we collect information?
We collect information via call, text, email, when an entity goes onto our website or social media, in person, at your place of residence, through third parties, and via the internet. Moore Rentals Ltd does this by submitting requests for information, copying information from print or digital media, writing down information made aware to Moore Rentals (via yourself or third parties), or via the information you send to Moore Rentals Ltd.
Information is also collected when we approach third parties. The information will not always be collected directly from you, it may be collected from other entities. We collect this information when it is useful for our business operations. Some examples of third parties we collect information from include: local government database providers, utility providers, credit checking providers, background checking providers, criminal checking providers, insurance providers, government agencies, Core Logic, Trade Me, social media platforms, contractors, tenants, owners, referees, previous landlords, Tenancy Tribunal, and Work and Income New Zealand.
5.0 What we do with the information we collect
All of the information we collect is used for Moore Rentals Ltd’s business activities. These business activities include, but are not limited to, renting out a property sufficiently, liaising between entities, effectively managing a property and its occupants, effectively managing funds, decision-making, and marketing. We use the information we collect to manage the responsibilities that Moore Rentals Ltd undertakes.
6.0 What we do for security and storage of information
Most of the personal information we collect is stored on computers, and other electronic devices (flash drives, cellphones, SIM cards, Cameras, SD cards, etc.). Personal private information is stored behind passcodes and logins. Some electronic information we collect is stored with third-party online providers such as Mri Palace, Banks, MYOB, Tenancy.co.nz, etc.
Certain information is also kept as hardcopy, which some information is required to be stored this way for legal reasons. Hard copy personal private information is stored in a filing cabinet.
Any hardcopy private personal information that needs to be destroyed, is either shredded or destroyed via a burn barrel.
When providing Moore Rentals Ltd information, you can always ask what will be done with the information provided. We do not store any unnecessary information, but if you are worried, you can request we not store certain things. If it is not essential, we are more than happy to help accommodate your request.
All sets of keys for properties that Moore Rentals Ltd has, are not identifiable to a specific property without accessing secure online software which enables us to see which key belongs to which property.
Moore Rentals Ltd is based from a home office where three large dogs reside for extra security.
7.0 How we share information
Information is shared between stakeholders of the information collected (where appropriate). When a tenant provides Moore Rentals Ltd with information, this information should be expected to be shared with the relevant property owner. A property owner should also expect relevant information that they share with Moore Rentals Ltd to be shared with a tenant residing in their property. Moore Rentals Ltd is the in-between party. To manage any property effectively we need to have clear communication between all parties.
Information is also shared with credit checking agencies, background checking agencies, police, referees, tenants, owners, contractors, utility providers, insurance providers, government agencies, banks, the Ministry of Business and Innovation, our service and software providers, marketing agencies, and more.
We share information via call, text, email, our website, social media, in person, at your place of residence, through third parties, and via the internet. If you wish to know exactly who your information is being shared with then please contact our office.
8.0 Accessing information
As per this privacy policy, a copy of all your information that we have can be accessed at any time. Please make a request in writing, and please allow five business days for us to compile all information.
9.0 Opting out
If you wish to opt-out of Moore Rentals Ltd collecting or storing information about yourself – please contact our office. Please be aware, that if you are an existing client, then some personal information is essential for us to store.
